A good self drive car rental agreement PDF is a two to three page contract that names the owner, the renter and the car, fixes the dates and the money, and says who pays when something breaks. Seven clauses do that job: parties and vehicle, rental period, payment and deposit, mileage, fuel and use, insurance, damage and breakdowns, and fines, termination and signatures. Private owners need all seven. Small rental operators need them in a stricter form. Renters should check that every one is present before signing.

The problem is that most templates online are padded US or UK forms, scanned pages you cannot edit, or one-page notes that skip the deposit and damage rules. A WhatsApp message saying "ok, take the car" is not a contract either. When a car comes back with a dent or three days late, you need written terms to point to.

This article walks through the seven clauses one by one. Each has plain wording you can copy into Word or Google Docs, fill in, and export as a PDF. We use examples from Rehan Rent A Car, a Karachi company that has rented out self-drive and chauffeur-driven cars since 2012. This is practical guidance, not legal advice.

1. Parties and vehicle details

The first clause identifies who is renting and which car changes hands. It is the base for every other clause, because a dispute is hard to settle when the page cannot show who drove which vehicle.

A smartphone photographs a driving licence next to an ID card and a car key.

What to write

Name both parties in full, with CNIC numbers, phone numbers and home addresses. Add the renter’s licence number and issue date. Then describe the car so nobody can argue about which one was handed over: make, model, year, colour, registration number, chassis number and engine number.

Rehan Rent A Car asks for a CNIC, a valid licence held for at least one year, and a refundable deposit. Those three items belong in the agreement or attached to it as copies.

If the page cannot identify the driver and the car, the agreement is not finished.

Sample wording

Paste this at the top of your document and fill in the brackets.

CAR RENTAL AGREEMENT (SELF-DRIVE)
Date: [DD/MM/YYYY]
Owner: [full name or company], CNIC/NTN: [number], Phone: [number]
Renter: [full name], CNIC: [number], Phone: [number], Address: [address]
Licence No.: [number], issued on [date], valid until [date]
Vehicle: [make, model, year, colour]
Registration No.: [number], Chassis No.: [number], Engine No.: [number]

Mistake to avoid

Many owners write "white Corolla" and a mobile number. That is too thin to rely on. Photograph both sides of the CNIC and the licence at handover, and keep the photos with the signed agreement. Check that the licence has not expired and that its issue date matches your minimum experience rule.

2. Rental period and return terms

This clause sets when the rental starts and ends, where the car is handed over and returned, and what happens if the renter is late. Exact times matter more than dates.

What to write

Write the start and end date and time, plus the handover and return addresses. A three-day rental from Friday 10:00 AM to Monday 10:00 AM is 72 hours, and a car returned at 4:00 PM on Monday is six hours late. Without times, you cannot charge for those hours.

Add a late fee per hour, a short grace period if you allow one, and a rule that extensions count only when confirmed in writing, such as a WhatsApp message before the end time. If you deliver to a home, office or hotel, as Rehan does anywhere in Karachi, name that address as the handover point.

Times beat dates: an agreement without hours leaves every late return open to argument.

Sample wording

2. RENTAL PERIOD
Start: [date] at [time]. End: [date] at [time].
Handover location: [address]. Return location: [address].
Late return: Rs. [amount] per hour after a grace period of [minutes] minutes.
Extension: valid only if the Owner confirms it in writing before the end time.
Early return: no refund of rental already paid unless agreed in writing.

Mistake to avoid

Owners often accept a verbal extension, then find the car is not back for the next booking. Put the extension rule in the contract and answer extension requests in writing. An open-ended "return when you are done" also makes it impossible to say when the rental legally ended.

3. Payment, deposit and fees

This clause states the rental rate, the total, how and when it is paid, and how much deposit the owner holds and when it comes back. Money disputes start here more often than anywhere else.

What to write

State the daily rate, the number of days and the total, then the payment method. Rehan Rent A Car accepts cash in PKR or bank transfer and issues a receipt for every payment, which is a habit worth copying. List any extra fees too, such as delivery or a late fee, so the renter sees them before signing.

For the deposit, write the amount, what it covers, and the refund deadline. Rehan’s self-drive deposit is Rs. 25,000, returned 7 days after the vehicle comes back. The table uses an illustrative rate of Rs. 8,000 a day, not a real price list.

Item Example figure
Daily rate Rs. 8,000
Rental for 3 days Rs. 24,000
Security deposit Rs. 25,000
Paid at handover Rs. 49,000
Returned after the car is checked Rs. 25,000 (if no deductions)

A deposit clause is only fair when it names the amount, the deductions and the refund deadline.

Sample wording

3. PAYMENT AND DEPOSIT
Rental: Rs. [rate] per day x [days] days = Rs. [total], paid by [cash/bank transfer] at handover.
Security deposit: Rs. [amount], held by the Owner against damage, fines and unpaid charges.
The deposit is refunded within [number] days of return and inspection, less documented deductions.
A receipt is issued for every payment.

Mistake to avoid

Do not write "deposit refundable" and stop there. Say how many days the refund takes and that deductions need evidence, such as a repair estimate or a challan copy. Renters should walk away from any agreement that lets the owner keep the deposit without proof.

4. Mileage, fuel and permitted use

This clause controls how the car is driven: how far, who drives, where it may go, and what fuel level it comes back with. Clear limits prevent most arguments about wear.

A car dashboard with odometer and fuel gauge, a smartphone on the steering wheel and a key.

What to write

Record the odometer reading and fuel level at handover and again at return. Decide whether mileage is unlimited or capped, and set a rate per extra kilometre. Rehan’s rule is simple: self-drive vehicles come back with the same fuel level as at handover.

Then list who may drive. Only the named renter and any extra drivers you have checked should be allowed. Add area limits, for example Karachi only unless the owner approves a trip in writing, and ban sub-renting, ride-hailing or delivery work, racing, towing and illegal use.

Name every permitted driver, because an unlisted driver is where most insurance claims fall apart.

Sample wording

4. MILEAGE, FUEL AND USE
Odometer at handover: [km]. Fuel level at handover: [full/half/quarter].
Mileage allowance: [unlimited / km per day]. Extra km: Rs. [amount] per km.
The car must be returned with the same fuel level, or the Renter pays Rs. [amount] per litre plus a refuelling fee.
Only the Renter and [additional driver names, licence numbers] may drive the car.
Permitted area: [city/province]. Travel beyond it needs the Owner's written approval.
The Renter will not sub-rent the car, use it for commercial passenger or delivery work, race it, or carry illegal goods.

Mistake to avoid

Owners skip the odometer photo. Take a dated photo of the dashboard showing mileage and fuel gauge at pickup and drop-off, and attach both to the agreement. Without them, a fuel or mileage charge is your word against the renter’s.

5. Insurance and liability

This clause says what insurance the car carries, who pays the excess, and what the renter owes when cover does not apply. Be specific, because "the car is insured" answers none of those questions.

What to write

Write the insurer, policy number and expiry date, and say whether the policy covers a driver who is renting the car. Many personal policies exclude cars rented out for payment, so ask your insurer in writing before you list the car. If the policy has an excess, state who pays it per claim, usually the renter.

Then list what insurance will not cover and the renter will pay: an unlisted driver, intoxicated driving, illegal use, driving outside the permitted area, or a lost key. Renters should ask to see the policy page, not just hear that it exists.

Liability is whatever the clause says it is, so write down who pays the excess and what voids cover.

Sample wording

5. INSURANCE AND LIABILITY
The vehicle is insured under policy no. [number] with [insurer], valid until [date].
Insurance excess per claim: Rs. [amount], payable by the [Renter/Owner].
The Renter is fully liable for loss or damage that insurance does not cover, including damage caused by an unlisted driver, intoxicated driving, illegal use, or use outside the permitted area.
The Renter is liable for loss of keys, documents or accessories.

Mistake to avoid

Do not copy a long indemnity clause from a foreign template and assume it works here. Keep the liability wording short and concrete, and have a local lawyer review it if the car is valuable or you rent often. A clause nobody understands is hard to enforce.

6. Damage, accidents and breakdowns

This clause records the car’s condition before and after the rental and tells the renter exactly what to do after an accident or breakdown. It decides who pays for damage.

A checklist of five car inspection points to review at handover, ending with both parties signing.

What to write

Do a joint inspection at handover and again at return, with photos or a short video. Record the condition on a sheet both parties sign. Check these points:

  • Body scratches and dents, windscreen and mirrors
  • Tyres, spare wheel, jack and wheel spanner
  • AC, lights, wipers and horn
  • Interior condition and any existing stains
  • Fuel level and odometer reading

For accidents, require the renter to call the owner immediately, avoid unauthorised repairs, and get a police report when the insurer needs one. For breakdowns, say who arranges recovery. Rehan Rent A Car provides a replacement vehicle within hours after a breakdown or emergency, and any owner can promise something similar.

Damage is only chargeable when the handover sheet proves the car left in better condition than it came back.

Sample wording

6. CONDITION, ACCIDENTS AND BREAKDOWNS
The Vehicle was inspected by both parties at handover. Existing damage is recorded in the attached condition sheet and photos.
After an accident or breakdown the Renter must call the Owner immediately on [number], must not authorise repairs, and must obtain a police report where required.
New damage found at return will be charged at actual repair cost, supported by an estimate or invoice, and deducted from the deposit first.

Mistake to avoid

A condition sheet signed only by the owner is weak. Both parties should sign and each keep a copy. Photograph the underside of bumpers and the wheels, since those are the areas most often disputed.

7. Fines, termination and signatures

The final clause covers traffic fines, what ends the agreement early, which law applies, and how it gets signed. It also decides how you turn the document into a PDF both sides can store.

What to write

State that the renter pays all traffic challans and tolls incurred during the rental, including notices that arrive after the car is returned. Add the right to end the agreement early if the renter breaks the terms, with the car returned at once. Name the governing law as the law of Pakistan and the courts of the city where you operate.

Close with signature lines for both parties, dates, and two witnesses with CNIC numbers. Finish the document in Word or Google Docs, export it as a PDF, print two copies, and sign both. Ask a local lawyer whether stamp paper or attestation makes sense for a long or high-value rental.

One signed page that both sides hold beats any perfect clause that nobody can produce.

Sample wording

7. FINES, TERMINATION AND SIGNATURES
The Renter pays all traffic fines, tolls and charges during the rental period, including notices received after return.
The Owner may end this agreement immediately if the Renter breaches it, and the Renter must return the Vehicle at once.
This agreement is governed by the laws of Pakistan. Disputes go to the courts of [city].
Both parties have read and accepted this agreement and each keeps a signed copy.

Owner: ________ Date: ________ Renter: ________ Date: ________
Witness 1: ________ CNIC: ________ Witness 2: ________ CNIC: ________

Mistake to avoid

Some owners sign one copy and keep it. Give the renter a signed copy and keep a scan of yours. If a challan arrives weeks later, you can match its date to the rental period and show the renter agreed to pay.

Before you hand over the keys

A self-drive rental agreement works when it answers seven questions on paper: who is renting, which car, for how long, at what price, under what rules, who pays when something goes wrong, and how it ends. Copy the clauses above into one document, fill in the brackets, export it as a PDF, and sign two copies. Then take photos at handover and again at return.

If you would rather rent than draft, it helps to see how a working operator handles these terms. Rehan Rent A Car asks for a CNIC, a licence held for at least a year and a Rs. 25,000 deposit, and delivers across Karachi. You can see the self-drive cars and book with Rehan Rent A Car, by phone, WhatsApp or at the office in Liaquatabad Town.
